Role Summary: As an Administrative Assistant, you will play a crucial role in the smooth operation of Polaroid Therapeutics. Your duties will include supporting our executives, assisting in daily office needs, managing our company’s general administrative activities, and performing basic HR duties. The ideal candidate will be highly organized, efficient, and capable of managing their workload in a fast-paced environment.

Key Responsibilities

  • Provide general administrative support to our executives, including managing calendars, scheduling meetings, and preparing reports.
  • Organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety.
  • Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
  • Book travel arrangements.
  • Submit and reconcile expense reports.
  • Provide general support to visitors.
  • Act as the point of contact for internal and external clients.
  • Assist with basic HR tasks, such as organizing employee records, assisting with recruitment tasks, and coordinating new hire orientations.

Job requirements

Qualifications

  • 0.5-3 years proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Understanding of basic HR functions, recruitment processes, and employee management
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • High School degree; additional qualification in HR, Administrative assistance, or Secretary will be a plus.
